How can I read the encrypted emails used by the Quorum HRS system?

In order to read an encrypted email, you need a secure personal email certificate. Once you have sent our support team an email signed with your registered email certificate, future email messages sent by the Quorum HRS system will be encrypted to that certificate’s unique code, allowing only systems with that certificate installed to decrypt the messages, thus allowing the message to be read.

Where can I get a secure email certificate?

A secure certificate for email, website or other data encryption, can be acquired from many vendors including StartCom CA, Verisign CA, Thawte, or even Microsoft. Quorum HR Solutions recommends using the StartCom Certificate Authority since we use this particular certificate Authority service and due to its low cost structure for our small business and individual users.

In order to register for your own secure certificate with the StartCom Certificate Authority , visit the StartCom website and click on the Sign-Up For Free icon on the top left of the site.

Fill out the Personal Enrollment form and follow their directions for verifying your email address and acquiring your certificate. On a Windows platform, once you have successfully created your certificate with Internet Explorer, the certificate will be automatically migrated to your Outlook email client.

Please be aware that certificates are NOT REPLACEABLE. If a certificate is lost it can not be re-issued to the same email address until the original has expired. We recommend backing up your certificate to a USB disk that can be stored securely in a safe location. Instructions on backing up client certificates can be found by clicking here.

How do I get my certificate on other browsers?

If you use Firefox or another browser, you can also aqcuire your secure certificate from theStartCom Certificate Authority by visiting the StartCom website and clicking on the Sign-Up For Free icon on the top left of the site. The only difference is the extra step of having to manually backup your certificate and then importing it into your Outlook or other email client. Instructions on backing up client certificates can be found by clicking here.

How do I use my certificate in other email clients?

If you use Thunderbird or another email client, you can use your secure certificate after it has been received from StartCom Certificate Authority. However, there are two additional steps that must be taken in order to use the certificate in your email client.

The first step after acquiring your certificate, is to backup the certificate. Instructions on backing up client certificates can be found by clicking here. The next step is to import that saved certificate into your email client. A basic walk-through if this process is available by clicking here.

Can I use a secure certificate on my Web enabled email?

At this time Quorum HR Solutions does not recommend nor support secure email via web based email. This is for many reasons including the nature of web based email and the fact that if you are in fact using a web browser, it would be more secure to view those secure messages through the Quorum HRS online software.
